[What and Why:]

We’re enhancing Outlook Inbox Rules by allowing the External email tag to be used as a rule condition. This tag is applied by the ExternalInOutlook feature and helps identify messages that originate outside your organization. This update improves productivity by giving users more control over how external emails are organized and prioritized.

[Rollout Schedule:]

General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out in early June 2026 and expect to complete by late June 2026.

[Impact on Your Organization:]

Who is affected: All Outlook users and Exchange Online admins in tenants with ExternalInOutlook enabled.

Platforms/Services:

  • Outlook for Windows (new)
  • Outlook on the web
  • Outlook for Mac
  • Exchange Online

What will happen:

  • Users can create Inbox Rules using the External email condition.
  • Rules can automatically move or categorize external messages.
  • Rule management is supported across modern Outlook clients.
  • The feature is enabled by default where ExternalInOutlook is already in use.
