Assessment Reasoning
This is a new Teams capability that allows admins to set a default meeting template for consistent meeting policies and options. It requires Teams Premium licensing and administrative configuration in the Teams admin centre. The impact on end users is moderate as meeting settings will change automatically but without altering core functionality. Admins need to plan configuration, testing, and communication before rollout in November 2026.

Microsoft Teams Default meeting template
Message ID: MC1526679

[What and Why:]

Default Meeting Templates enable IT admins to automatically apply their organization’s preferred meeting options whenever users schedule a Teams meeting through Outlook or Teams calendar. This helps organizations apply meeting options (including protection meeting options) at scale, and reduce the need for organizers to manually configure meeting options.

[Rollout Schedule:]

General Availability (Worldwide): We will begin rolling out in early November 2026 and expect to complete by mid November 2026.

[Impact on Your Organization:]

For meeting organizers and co-organizers with a default meeting template applied, their meetings will use the meeting options defined in that template, including protection meeting options. Participants joining those meetings will experience the configured meeting options.

Please note that only organizers and co-organizers with a Teams Premium license can use the default meeting template.

[Action Required/Recommendations:]

Default meeting templates help IT admins provide a consistent meeting experience by automatically applying the configured meeting options, including protection meeting options, to scheduled meetings through Outlook or Teams Calendar. Meet Now, Channel Meetings, and Events are out of scope for default meeting template.

  • IT admins first create a custom meeting template and then assign it as the default meeting template. Instructions to create a default meeting template: Create a custom meeting template in Microsoft Teams.
  • Configuration considerations: When configuring the template, admins should review the restrictions and platform limitations associated with the features they enable. Some settings may result in a degraded experience on unsupported platforms.
  • If the default meeting template is removed, meetings will no longer use the meeting options defined by that template. Instead, the meeting options currently applicable to the organizer will take effect.

Recommendation: Do not configure the Copilot meeting policy to “On with saved transcript required.” With this configuration, users may encounter errors with default meeting template. We recommend using an alternative Copilot meeting policy configuration.

[Compliance considerations:]

No compliance considerations identified. Review as appropriate for your organization.
