Microsoft Viva: Create and customize Power BI reports

[What and Why:]

Microsoft is introducing a new Viva Insights capability that enables eligible users to create, customize, and save supported Power BI reports, including the Microsoft 365 Copilot Adoption and Copilot Studio Agents reports. Today, eligible users can consume out-of-the-box reports. With this update, they will be able to customize supported reports by adjusting the reporting period, applying filters and organizational attributes, customizing report visuals and layouts, and saving customized reports for future use. Existing governance, security, privacy controls, roles, and permissions will continue to apply.

  • General Availability (Worldwide): Beginning early August 2026; expected to complete by late September 2026

Who is affected:

This feature will be available to eligible users of Microsoft Copilot Analytics in Viva Insights, including:

  • Chief Officers with tenant-level access
  • Group Managers with team-level access
  • Delegates assigned by Chief Officers or Group Managers
  • Viva Insights Analysts with access to Microsoft Copilot Analytics and Analyst Workbench

Platforms/Services:

  • Microsoft Copilot Analytics
  • Power BI reports within Viva Insights

What will happen:

  • Eligible users will be able to customize supported Power BI reports they already have access to.
  • Users will be able to:
    • Changing the reporting period (up to 13 months where supported)
    • Applying filters and organizational attributes
    • Customizing report visuals and layouts
    • Saving personalized report views for future use
  • Customized reports created by Chief Officers, Group Managers, and Delegates are private by default and are visible only to the report owner and their authorized delegates.
  • Delegates will be able to create, access, and manage customized reports on behalf of the leaders they support.
  • Analysts will continue to have access to existing Analyst Workbench capabilities.
  • Reports created by Analysts can be saved as private reports or shared within their assigned partitions, consistent with existing partition permissions.

  • Review Copilot Analytics role assignments and delegation configurations to anticipate which users may receive report creation and customization capabilities. 
  • Communicate the new creation capability to eligible users before rollout completion.
  • Update internal training materials or reporting documentation if they reference Viva Insights reporting workflows.
  • Prepare support teams for potential questions regarding PowerBI report customization capabilities.
  • If your organization is not ready to adopt this feature, you can enable or disable Report Customization at user, group or tenant level through Viva Feature Access Management.
