Microsoft SharePoint: Performance update for requesting an eSignature on a PDF [MC1034583]

Message ID: MC1034583

As communicated in 168828 (Updated) SharePoint eSignature electronic signature service (published November 2024, updated March 2025), SharePoint eSignature is Microsoft’s first party electronic signature service which allows users to easily request eSignatures on a PDF document via SharePoint online. Signers can easily add their electronic signature. Signed documents are saved securely back to SharePoint.

Before this rollout, when users request an eSignature using the native SharePoint eSignature capability on a PDF, users must wait for their request to complete processing before creating an additional request.

After this rollout, users will be able to create additional requests without needing to wait for the previous request to complete sending.

[When this will happen:]

General Availability: We will begin rolling out mid-April 2025 and expect to complete by late May 2025 to these regions.

[How this will affect your organization:]

After this rollout, new toast notifications will inform users of the processing state of requests. Users can access the in-progress PDF through the toast notification.

This change will be on by default.

[What you need to do to prepare:]

This rollout will happen automatically by the specified dates with no admin action required before the rollout. Please notify your users about this change and update any relevant documentation.

The upcoming performance update for Microsoft SharePoint’s eSignature feature is set to bring a wave of efficiency and convenience for both admins and users alike. With the ability to create additional eSignature requests without waiting for previous ones to process, this enhancement is likely to streamline workflows significantly.

For users, this means less downtime and a smoother experience. Imagine being able to send out multiple signature requests in rapid succession—it’s like finding out that your favorite coffee shop now offers unlimited refills! The new toast notifications will keep users informed about the status of their requests, ensuring that no one is left in the dark while waiting for a signature. This transparency is bound to reduce anxiety and improve overall user satisfaction.

Admins will also benefit from this update, as there is no need for any pre-rollout action on their part. The automatic rollout simplifies the process, freeing up time for them to focus on other essential tasks. Plus, they can take pride in notifying their teams about this improvement, showcasing their commitment to enhancing productivity within the organization.

In terms of impact, the changes are poised to be quite significant. By reducing the time spent on waiting for eSignature requests, organizations can expect to see an increase in efficiency, which ultimately translates to better productivity. The ease of access to in-progress PDFs through notifications also adds a layer of user-friendliness that will likely be appreciated by all.
