Message ID: MC906496
Administrators can now use the Microsoft SharePoint Online Management Shell to disable the user presence feature in the Microsoft OneDrive and SharePoint file viewer on a per-site collection basis.
This message is associated with Microsoft 365 Roadmap ID 419814.
[When this will happen:]
General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out late October 2024 and expect to complete by late November 2024.
[How this will affect your organization:]
Before this rollout: When previewing a file in the OneDrive and SharePoint file viewer, users can see the presence of other users who have the file open. This behavior will not change by default.
After this rollout, if desired, SharePoint admins can use the SharePoint Online Management Shell to disable the presence feature for a given site collection. This can be done by updating to the latest version of the SharePoint Online Management Shell and running Set-SPOSite -HidePeoplePreviewingFiles $true
along with a list of valid site identifiers. Learn more: Set-SPOSite (Microsoft.Online.SharePoint.PowerShell) | Microsoft Learn.
By default, this feature is available for admins to configure.
[What you need to do to prepare:]
This rollout will happen automatically by the specified date with no admin action required before the rollout. Review your current configuration to determine the impact for your organization. You may want to notify your users about this change and update any relevant documentation if you choose to enable this feature.

The new update from Microsoft for OneDrive and SharePoint brings a setting that allows administrators to disable the user presence feature in the file viewer. This means users won’t see who else has a file open when previewing it. So, admins can now control this feature on a per-site collection basis using the SharePoint Online Management Shell.
In terms of impact, admins will have more control over user presence visibility, which can enhance privacy and security. Users, on the other hand, may notice a change in the file viewer behavior if the presence feature is disabled for their site collection.
Now, let’s talk criticality. On a scale from “meh” to “mind-blowing,” this update falls somewhere between “Hey, that’s pretty neat” and “Well, that’s handy!” It’s not a game-changer, but it’s definitely a useful addition for organizations looking to manage user presence more effectively.
So, get ready to embrace this change, folks! And remember, with great power (admin settings) comes great responsibility (to not mess things up… too much). Stay tuned for late October 2024 when the rollout begins, and let the disabling of user presence commence!
