Microsoft SharePoint Online: Search, eDiscovery, and DLP policies now enabled on files with custom permissions labels [MC1013467]

Message ID: MC1013467

Microsoft SharePoint Online now supports content search, Microsoft Purview eDiscovery, and Data Loss Prevention (DLP) policies on files with labels configured for user-defined permissions.

Learn more about support for labels configured for user-defined permissions.

Note that files with labels configured for user-defined permissions will continue to not be available for Microsoft 365 Copilot processing.

[When will this happen:]

General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out mid-March 2025 and expect to complete by late April 2025.

[How this will affect your organization:]

When a user performs a keyword search in SharePoint Online, the service will now bring back matched results with content inside files that have user-defined permission labels.

Note that only files that are uploaded to SharePoint Online after this feature update is rolled out to your tenant will support this updated content search. These files are likely to show up in search results for the correct set of users as defined in the label for that file. Files with user-defined labels that already existed in SharePoint Online prior to the rollout of this feature update will not show up in search result until the labels are re-edited.

Similarly, new and edited files will show up in Purview eDiscovery searches for file content matches, and the label names for the files will display in Content Explorer. They are supported for your DLP policies.

[What you need to do to prepare:]

This rollout will happen automatically with no admin action required. You may want to notify your users about this change and update any relevant documentation as appropriate.

The recent update to Microsoft SharePoint Online, which enhances the search, eDiscovery, and DLP policies for files with custom permissions labels, is set to make quite a splash in both the administrative and user realms. For admins, this means an added layer of control and visibility over document management, allowing them to better safeguard sensitive information while still making it accessible to the right eyes. The automatic rollout of these features means less legwork for admins, allowing them to focus on strategic initiatives rather than micromanaging permissions.

For users, the update is a game-changer. Imagine being able to search for content within files that have specific permissions labels—it’s like finding a needle in a haystack but with a magnet! This enhancement will streamline workflows and make it easier for teams to collaborate effectively while ensuring compliance with DLP policies. However, it’s worth noting that only files uploaded after the rollout will benefit from this feature, so a little housekeeping may be in order for existing documents.

As for the impact, it’s significant. The ability to conduct keyword searches across a broader range of files means that users can access information more efficiently, potentially leading to increased productivity. Plus, with the added visibility into eDiscovery, legal teams can breathe a little easier knowing they have access to the necessary data when it counts.

In the spirit of community engagement, I encourage everyone to share their thoughts on this update! How do you think these changes will affect your daily tasks? Will it simplify your workflow, or do you foresee any challenges? Let’s hear your insights and experiences!
