Microsoft OneDrive: New naming convention for folder shortcuts [MC1025216]

Message ID: MC1025216

Coming soon: New naming logic for Microsoft OneDrive folder shortcuts. We will add the site name or the user’s OneDrive to all new folder shortcuts. Before this rollout, OneDrive shortcuts have the same name as the folder. After this rollout, the shortcut will also include the name of site where there the original folder exists. If a colleague shares a folder with user, and the users creates a shortcut for that folder, the shortcut will include the name of the person who owns the folder. This change will help you easily identify the source of the folder shortcut and differentiate it from other content in your OneDrive > My Files.

[When this will happen:]

General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out mid-March 2025 and expect to complete by mid-April 2025.

[How this will affect your organization:]

After this rollout, any new folder shortcuts you add to your OneDrive > My Files will follow the new naming convention. For example:

  • If you go to a SharePoint site named Marketing Team and create a shortcut to a folder named Project File, the shortcut will appear as Marketing Team – Project Files in your OneDrive > My Files.
  • If you add a shortcut to a folder named Blog post from Mona Kane’s OneDrive, the shortcut will appear as Mona Kane’s files – Blog post in your OneDrive > My Files.

Key points

  • The new naming logic will apply only to new shortcuts added after this rollout.
  • Existing shortcuts will retain their current names.
  • This change will be reflected in OneDrive for the web, OneDrive for iOS/Android, Microsoft File Explorer, Mac Finder, and Microsoft Teams.
  • This change will be available by default.

The upcoming update to Microsoft OneDrive’s folder shortcut naming convention is set to make quite a splash in both admin and user experiences. By incorporating the site name or the user’s OneDrive alongside the original folder name, this change aims to enhance clarity and organization in our digital workspace.

For admins, the impact will be largely positive. This update requires no additional action on their part, which is always a welcome relief. With the new naming logic, admins can expect fewer queries from users who may have previously struggled to identify the source of shared shortcuts. This should lead to a more streamlined support experience, allowing admins to focus on more pressing matters—like figuring out who keeps stealing their lunch from the office fridge!

Users, on the other hand, will benefit from an improved ability to navigate their OneDrive. The new naming convention will help users quickly distinguish between different folder shortcuts, especially when collaborating with multiple colleagues. Imagine the ease of locating a folder named “Marketing Team – Project Files” versus a generic “Project Files.” It’s like finding that one elusive sock that always seems to disappear in the laundry—suddenly, everything feels a bit more organized!

While existing shortcuts will retain their current names, the upgrade will apply to new shortcuts created after the rollout, set to begin in mid-March 2025. This means that as users start to create new shortcuts, they’ll enjoy this clarity right away.

In conclusion, the changes promise to enhance the overall user experience while lightening the load for admins. How impactful will these changes be? Well, if the ease of organization and reduced confusion lead to increased productivity, we might just find ourselves wondering how we ever managed without it!

What do you think about this update? Are you excited for the new naming conventions, or do you have any concerns? I encourage you to share your thoughts in the comments below! For more insights and discussions, feel free to check out other posts on mwpro.co.uk.
