FAQ

What is the quality and subsampling for each compression level?

We offer three levels of image compression. All use lossy compression and chroma subsampling to reduce file sizes while maintaining visual quality. The options are:

  • Light compression: Apply 4:2:0 color subsampling and reduce 25% of image pixels.
  • Medium compression: Apply 4:2:0 color subsampling and reduce 50% of image pixels.
  • Heavy compression: Apply 4:2:0 color subsampling and reduce 75% of image pixels.

Users can compress one PDF at a time. The original file must be smaller than 300 MB.

This feature is on by default.

[What you need to do to prepare:]

Note: Some users may see this feature before other users in your organization.

This rollout will happen automatically by the specified dates with no admin action required before the rollout. You may want to notify your users about this change and update any relevant documentation.

Before rollout, we will update this post with new documentation.

The introduction of the new PDF compression feature in Microsoft SharePoint and OneDrive is set to be a game changer for both admins and users alike. This innovation, arriving in late April 2025, provides a fantastic opportunity to enhance file management and user experience across the board.

For users, the ability to compress PDF files with just a few clicks is a welcome addition. With three different compression levels to choose from, users can tailor the file size to meet their specific needs. This means less time waiting for files to upload or download, and more time focusing on what truly matters—getting work done. Who wouldn’t appreciate a little more efficiency in their digital life? Plus, the ease of use is sure to put a smile on everyone’s face. After all, who doesn’t love a good shortcut?

On the admin side, the rollout requires no action, which is a relief! Admins can sit back and enjoy the benefits without the usual headaches of implementing new features. However, a gentle nudge to inform users about this change would be prudent. Keeping everyone in the loop not only enhances user satisfaction but also fosters a culture of collaboration and efficiency.

As for the impact of these changes, it’s likely to be significant. Smaller file sizes mean more efficient storage management and potentially improved performance across the organization. Imagine the collective sigh of relief when users no longer have to deal with bulky PDFs clogging up their storage!

In conclusion, this new feature is not just a technical enhancement; it’s a step towards a more streamlined and user-friendly experience in SharePoint and OneDrive. I encourage everyone to share their thoughts—how do you think this feature will impact your daily tasks? Will you be using it often? Let’s hear your opinions!
