Microsoft Outlook for iOS: Updated conversation actions [MC1072411]

Message ID: MC1072411

Note: If your organization does not support iOS, you can safely ignore this message.

Before this rollout, when viewing an email message, a user can access the available conversation actions in Microsoft Outlook for iOS in the top right corner of the screen. After this rollout, these actions will be at the bottom of the screen. The user will be able to customize the order and placement of the actions to suit their needs.

This message is associated with Microsoft 365 Roadmap ID 492627.

[When this will happen:]

General Availability (Worldwide, GCC, GCC High, DoD): We will begin rolling out early July 2025 and expect to complete by early January 2026.

[How this will affect your organization:]

After this rollout, actions formerly found in the top right of the reading pane (such as Mark unread, Pin, Delete, and Archive) will move to a toolbar at the bottom of the reading pane:

user controls

Users can customize the order of these actions and choose which actions will be visible in the toolbar and which should stay in the three-dot menu, with the toolbar displaying as many actions as space allows.

Left: Reorder conversation actions in the Customize actions pane, which users can access from the three-dot menu in the toolbar at the bottom of the reading pane. Right: Conversation actions in the three-dot menu:

This consistent layout will help users build muscle memory, as actions will remain in the same positions across accounts and message views. To maintain consistency across different accounts and views, inaccessible actions will be visibly disabled, lowering the chances of triggering unintentional actions.

This change will be on by default.

[What you need to do to prepare:]

This rollout will happen automatically by the specified dates with no admin action required before the rollout. You may want to notify your users about this change and update any relevant documentation.

Before rollout, we will update this post with new documentation.

The recent update to Microsoft Outlook for iOS is set to bring some interesting changes that could impact both admins and users in notable ways.

For users, the shift of conversation actions from the top right corner to a customizable toolbar at the bottom of the screen is a welcome change. This new layout not only enhances accessibility but also allows users to tailor their experience by arranging actions like Mark Unread, Pin, Delete, and Archive according to their preferences. Imagine being able to prioritize your most-used actions—it’s like having a personal assistant right in your pocket! Plus, this consistent layout across different accounts will help build muscle memory, making navigation smoother and more intuitive.

On the admin side, the good news is that there’s no need for additional action. The rollout will happen automatically, which means less hassle for IT departments. However, it might be wise to give users a heads-up about the change. After all, no one enjoys being caught off guard by a sudden shift in their email routine, right? A quick notification could save a lot of “Where did my delete button go?” moments.

Overall, the impact of these changes is likely to be quite positive. Users will enjoy a more streamlined and personalized experience while admins can breathe easy knowing that the update requires minimal intervention.

What do you think about these changes? Will they make your email experience better, or do you foresee any challenges? Share your thoughts below! And for more insights, don’t forget to check out other posts on mwpro.co.uk. Let’s keep the conversation going!
