Microsoft OneDrive: Export files as PDF [MC1074098]

Message ID: MC1074098

Coming soon for Microsoft OneDrive: The new Export as PDF feature provides a simple method for users to transform their files into PDF format. With one click, users can create a PDF version of their file, without having to leave their workflow.

[When this will happen:]

General Availability (Worldwide): We will begin rolling out mid-May 2025 and expect to complete by mid-June 2025.

[How this will affect your organization:]

After this rollout, users can access the Export as PDF command in the three-dot menu or the command bar for files and shared libraries in OneDrive. The following filetypes are supported: Word, Excel, PowerPoint. The Export as PDF command will only appear for supported file types.

When a file is exported as a PDF, the resulting document will be saved in the same parent folder as the original file. For shared files, the new PDF will be created in the root of the user’s OneDrive, facilitating easy access and organization.

Export as PDF is only allowed for files with the appropriate sensitivity label and Information Rights Management (IRM) protection settings. To use this feature, users must have permission to download the file. If you attempt to use this feature for a file that you do not have permission to download, the operation will not succeed, and users will receive an error notification:

This feature will be on by default.

[What you need to do to prepare:]

This rollout will happen automatically by the specified dates with no admin action required before the rollout. You may want to notify your users about this change and update your training materials and documentation to include information on the new Export as PDF command, as well as guidance on IRM protection settings that could impact feature availability.

The upcoming “Export as PDF” feature in Microsoft OneDrive is set to create quite a ripple in the way both admins and users interact with their files. This new capability, launching between mid-May and mid-June 2025, will allow users to convert their Word, Excel, and PowerPoint files into PDF format with just a click. Talk about a time-saver!

For users, this means a smoother workflow—no more juggling between different applications or worrying about file formats. It’s all about convenience and efficiency. Imagine being in the middle of a project, and with a single click, you can export your document as a PDF. That’s like having a magic wand that turns your work into a polished presentation instantly!

Admins, on the other hand, will appreciate the simplicity of this rollout. With no action required on their part, they can sit back and watch as their users embrace this new feature. However, a little heads-up to users about the IRM protection settings and sensitivity labels will go a long way. After all, we wouldn’t want anyone to be left scratching their heads when they encounter an error due to permission issues!

The impact of these changes is likely to be significant. Users will benefit from increased productivity, while admins can feel confident that their teams are equipped with the tools they need to succeed. Plus, with the new PDFs being saved in the same folder as the original files, organization just got a whole lot easier.

So, what do you think? Will this feature be a game-changer for you? I’d love to hear your thoughts and experiences! Don’t be shy—let’s get the conversation going! For more insights and updates, feel free to explore additional posts at mwpro.co.uk.
